Talentshed Group Ltd is a recruitment and marketing business (Company No: 12043598, registered in England and Wales). We operate under the trading name Talentshed and provide recruitment and employer brand marketing services.

We are a data controller under data protection laws, which means we decide how and why your personal data is processed. 

 

The Data We Collect 

We may collect, store and use the following types of personal data: For candidates: 

  • Name, contact details, and job history (typically from your CV) 

  • Education, qualifications and skills 

  • Right to work information 

  • Salary expectations and preferences 

  • Notes from interviews or conversations with our team 

  • Publicly available professional info (e.g. LinkedIn) 

  • Any other data you share with us during the recruitment process 

 

For clients: 

  • Contact names, job titles and contact information 

  • Job role details 

  • Information about your hiring preferences 

  • Communications and agreements 

 

We do not collect or store special category data (e.g. health or criminal records) unless specifically required and with your explicit consent. 

 

Our services are not intended for children under the age of 16. We do not knowingly collect data relating to children. 

 

How We Collect Your Data 

 

  • Directly from you (CV submissions, forms, emails, calls) 

  • From job boards or recruitment platforms you’ve registered with (who have your permission to share your details) 

  • From public sources (like LinkedIn) 

  • Through introductions and referrals 

  • From clients – e.g. where a hiring manager refers you to us 

 

How We Use Your Data 

 

We only use your data where we have a lawful basis to do so. This includes: 

 

  • Legitimate interests – e.g. helping you find a role, assessing your suitability for a job, maintaining records of introductions to protect our commercial interests. 

  • Consent – where you’ve explicitly agreed we can share your details with a client. 

  • Contractual necessity – when we need to take steps before entering into a contract with you or fulfil obligations to our clients. 

  • Legal obligations – if required to comply with employment or data protection laws. 

  • Relevant marketing communications. This may include sharing insights, job opportunities, career tips etc. We will only send marketing communications if you've opted in to receive them or where we have legitimate interest and you haven’t opted out. We may also retain candidate data to help prevent fee circumvention (e.g. where we’ve introduced you to a company, and later receive your CV again via another channel). We will never use this data in a way that’s unfair or misleading – and we’ll only ever refer to facts already known to the parties involved. 

 

We do not use personal data for automated decision-making that has legal or similarly significant effects (as defined under UK GDPR Article 22). We do use marketing automation tools that tailor communications based on your preferences and interactions with our content (e.g. forms, website visits, emails). You can opt out of marketing communications at any time.  

 

Who We Share Your Data With 

 

We may share your personal data with: 

 

  • Clients looking to hire (with your consent) 

  • Third party technology providers who help us deliver our services (e.g. our CRM (Tracker), email, Typeform or marketing tools such as Ortto)  

  • Legal or regulatory authorities where required 

  • Third-party job platforms (only where you've already given them permission) We never sell your data or use it for unrelated marketing. 

 

How Long We Keep Your Data 

 

We keep your data only for as long as necessary. In general: 

  • Candidate records are kept for up to 6 years from last meaningful contact. 

  • Client records are retained for 7 years from the end of our business relationship (to comply with tax and contractual obligations). 

  • You can ask us to delete your data sooner (see section 8). 

 

Your Rights 

 

Under UK GDPR, you have rights over your personal data, including the right to: 

 

  • Access a copy of the data we hold on you 

  • Correct inaccurate or incomplete information 

  • Ask us to delete your data ("right to be forgotten") 

  • Object to processing based on legitimate interests 

  • Restrict or limit how your data is used 

  • Request data portability (for example, if you want us to send your info to another recruiter)

Data Security 

 

We take your data security seriously and have measures in place to protect your information from unauthorised access, disclosure, or loss. This includes secure systems, restricted access, and regular staff training.

Your data is stored in the UK or EU. If we ever need to transfer it outside the UK/EU (e.g. if a client is overseas), we’ll ensure appropriate safeguards are in place.
